You can access all services in Microsoft 365 via the direct link M365.umu.se.
Email through Microsoft 365
When activating your user account, you automatically get access to an email account in Microsoft 365. Your email address will be UMU-id@student.umu.se.
You can use your email account when in contact with the University. If you prefer to use a private account, you have to change your primary email account in Ladok.
Microsoft 365 – more than just email
Collaborate in Teams
Teams is a tool where you can create a shared space for group work and collaborations. It can also function as a storage space for documents and files that can be co-edited. Teams can also be used to chat and hold video calls. You and your peers can create a joint team with channels and use Teams as a mutual group working space through which you can communicate and store files. Teams is available to all students and employees at Umeå University.

Emails, calendar and contacts in Outlook
You can store emails and attachments up to 50 GB, get access to calendars that you can share with others and an address book for your contacts. You can also easily connect your student email account with the email client on your computer, mobile phone and tablet.
Notes with Onenote
OneNote is a digital notebook for writing and saving your memos and notes. You can take personal notes or create notebooks to share with others.
Upload and store your files in OneDrive
You get 1 TB of storage space for your files. In Microsoft 365, document management has been enhanced with new features to facilitate collaboration with your fellow students. OneDrive allows you to synchronise your files between computers, mobile phones and tablets.
Create content with Word, Excel and Powerpoint
You can create and edit Word, Excel, PowerPoint and OneNote files directly via your web browser using the web version of Microsoft Office.
As a student at Umeå University, you also have the option to install Microsoft Office Pro on up to five devices, at no cost. To download the software, you need to be logged into Microsoft 365 with your Umeå University user account (UMU ID).

Structure and distribute tasks with Planner
Planner is an application for structuring and distributing tasks. Planner allows you to gather your own or your group's tasks in one place, and check off when your tasks have been completed.
Work together on digital Whiteboards
Whiteboard is a complement to the University's tools for online meetings. The application facilitates online collaboration as it enables creating digital whiteboards where you can create post-its, write text, draw and mount pictures and documents.
Whiteboard can, for example, be used in:
- workshops
- project planning
- group discussions.

Create surveys with Forms
Using Forms, you can create and share forms and surveys. It also allows you to make reports of survey results.
Forms can, for example, be used to:
- create surveys, forms and polls;
- invite participants to respond to the survey or form;
- compile and evaluate answers;
- export data to Excel to create analyses, charts, etc.
Get help from the AI-powered chatbot Copilot
Students have access to Copilot available through a web browser. Copilot is an intelligent and engaging AI chatbot that can help you with various tasks and questions. The areas of use are many. Here are some examples of what Copilot can help you with:
- Solving maths problems by generating step-by-step solutions and explanations.
- Finding relevant articles, books and other sources for your research.
- Creating a study plan, reminding you of deadlines, and giving you tips on how to improve your study skills.
- Preparing for exams by generating practice questions and giving you feedback on your answers.
How to use Copilot
Go to copilot.microsoft.com and log in with your account (UMU-id@student.umu.se). When you are logged in, you get access to "Commercial data protection in Copilot". The logged-in version has a higher level of protection than the trial version that anyone can use without logging in:
- In logged-in mode, the information you write in the chat is neither saved nor shared.
- All information in the chat is deleted after the session ends and the information is never used to train the model.
- All data is processed within Europe and the service is covered by the agreements the University has with Microsoft.
Microsoft development software
Umeå University provides access to Microsoft Azure Dev tools for Teaching, which is a Microsoft software aimed to support, above all, technical educations, but it is available to all students. It gives you free access to Microsoft developer and design software. Microsoft Azure Dev tools for Teaching includes most of the applications that Microsoft provides, however the Office applications are not included.
In order to get access to Microsoft Azure Dev Tools for Teaching, you need to sign up and verify that you are a student at Umeå University. You also need a Microsoft account.

What happens to my files after I leave the University?
After you complete your studies, your files will be stored for two years. During this time, you are still regarded as an active student. We recommend you to save your files elsewhere if you want to keep them after your studies, to ensure that they are not lost.
