Secure handling of sensitive personal data in student work

If you need to handle sensitive personal data in your student work, you do so in a collaboration site available in Teams in Microsoft 365. Your supervisor or the teacher of the course can create the collaboration site for you.


Create a collaboration site

  1. Talk to your supervisor or the person responsible for the course about whether you need a collaboration site.
  2. In order to log in to the collaboration site, you must have activated multi-factor authentication, MFA. Here are instructions for activating MFA.
  3. The supervisor/teacher orders the collaboration site and adds the members.
  4. As a member, you receive information about and a link to the collaboration site via e-mail.
  5. Now you, together with the other members, can start managing the student work in the collaboration site.

Collaboration site in Teams

To get the best experience and functionality, you are recommended to use the collaboration site in Teams for storing your files. You can also use Teams for digital meetings, communication and collaboration as well as for recordings and data collection. 

The site is customized and has limitations

This collaboration site is adapted to handle student work that contains sensitive personal data. Therefore, some functionality is limited:

  • Login with MFA is required to access the surface.
  • It is not possible to work with files in the Word desktop app (the app that is installed on your computer), but only via the web.
  • It is not allowed and it is not possible to download or synchronize files located in the surface.
  • It is not allowed and it is not possible to share files with people outside the team.
  • It is not possible to rename files, documents and folders - so think carefully when you name your content.
  • Only those responsible for the surface can add and remove members.

Make sure that you follow the rules!

The university's rules for the processing of personal data must be followed when students process personal data in their studies.
